Get to know Vainu for CRM

Vainu for CRM is a new way of following your prospects, updating your prospect data and receiving real time-information directly to your CRM.

How to get started with Vainu for CRM?

To enable Vainu for CRM you need to have :

  • CRM access( Pipedrive, Microsoft Dynamics 365, Salesforce, Hubspot) with Admin rights
  • Vainu account with Vainu for CRM access

Which CRM versions are supported?

Salesforce: Salesforce lightning agreement with REST API access. Rest API access is included in these versions: Enterprise Edition, Unlimited Edition, Developer Edition, Performance Edition

Windows Dynamics 365: Requires Dynamics 365 Online. Integration is not suitable for on-premise versions.

How to start the subscription?

The new features are available free of charge for the first contract period OR to the end of the current contract period if this is activated before the end of February. If you are new to Vainu, contact our Vainu Sales team by phone or by sending a message in chat.

How does Vainu for CRM differ from Vainu Prospect?

Vainu for CRM tracks changes and sales opportunities for the companies already in your CRM. Vainu Prospect can be used without CRM access. It is a tool that can be used for prospecting new companies not yet in your CRM.

Why can't I select multiple countries for matching?

Vainu wants to make sure the data matched and enriched is always correct. By selecting one single country we minimize the risk of incorrect matching. With this, we make sure the data you receive will always be correct. 

What if I selected the wrong country for matching?

What will happen when I give access to Vainu to enter my CRM?

The access enables Vainu to gather data from your CRM so it can be easily used to generate activities, enrich company data on your CRM, find new similar prospects and follow the revenue growth resulted from using Vainu for CRM tool.

What happens when I turn on an update for company data?

You can use the toggle on the top right corner to turn on updates for company data.
Manual updates are automatically turned on. The manual update process will not update existing records but will enrich the data on newly created Accounts/Organizations. When you add a new Account Vainu will automatically match the company based on the data you have provided. Choose manual update, if you have a unique way of labeling Business IDs. Choose manual update, if you don’t want the existing data to be updated and enriched by Vainu.

Notice! When setting up Vainu for CRM the changes will automatically be visible to all of your CRM users. 

What is an automatic update?

Automatic update matches the companies already in Vainu by using Company name, business ID, auxiliary name and other data. An automatic update will find a match for a company already in your CRM and enrich the company card with official data found on Vainu. Vainu enriches the data with data points such as:

Company name

Account number

Link/Website

Turnover

Country

Phone

Visiting address

Postal code

City

Vainu link

Why did some of the companies in my CRM not match?

There are different reasons for why company data has not been enriched. There might be companies with the same name. It might be the data on your CRM is not valid enough for enriching. In case a company card is not enriched update the data or use the “Vainu: Turn on auto-update” link found on your CRM company card to match the account to a correct company. Vainu for CRM can only match one country at a time if you have companies from multiple countries the companies from different countries will not be matched. 

How can I revert the changes? 

You can either revert the changes made for all accounts by clicking the button “Undo changes” in Vainu for CRM or you can revert the changes on a specific company card by clicking “Turn off auto-update” link on your CRM Account page. 

Why can’t I see any updated data on my CRM?

The update process will take time. When making an automatic update for the first time you can see the progress on the top of the Vainu for CRM page. When updating an individual account you might need to update the page again. 

Why are there new fields on my CRM?

When you turn on Automatic update the Pipedrive Accounts/Organizations will be enriched with two new fields.
Vainu: Auto-update status

This field indicates whether the data has been updated by Vainu or not and if there are some changes in the data that have not yet been applied.

Vainu: Turn off/on auto-update

This field gives you the possibility to either update the data of the company or revert the changes made by Vainu. It is not possible to update only selected data. When used Vainu updates all data.

CRM Specific issues:

Salesforce: I’m unable to Turn on update company data on Vainu for Salesforce?

Vainu for Salesforce needs API rights that are not available all Salesforce tiers.

Dynamics: I can’t see any Vainu links or data?

To view Vainu data, you need to go and make it visible using the layout editing tool. 

Trigger

What are the triggers?

Triggers are automatically created actions/notifications added to the CRM’s events tab. You can schedule activities based on your needs. Turn on notifications from the toggle on top of the notifications view. 

Can I schedule notifications to be received only at certain times? 

You can schedule a timeframe for the notifications, so you won’t receive notifications outside business hours. You can set a schedule by using “Schedule notification weekly” -toggle. 

Where can I find notifications? 

You can find notifications on your CRM Events view.  In Pipedrive, the Events tab is called Activities. 

Who gets the notifications? 

The notifications are visible to all users. You can edit the recipients in the notifications settings. When the notifications are routed, they are assigned to a specific person.

Why don’t I get notifications?

Check if you have turned on the toggle for notifications and turned on either manual or automatic updates. If you have only a small amount of companies in your CRM there might not be any events. If the companies in your CRM are smaller in employee count or in revenue there might not be fewer events found. Lead Router

What is the Lead Router?

the Lead Router enables you to find events from the companies in your CRM and assign them to your team members with messages. The Router also shows you companies similar to the companies in your CRM. 

Router View is empty or shows only a progress bar.

The process of matching takes time. Check if the update progress bar in the settings is complete. If there are a few companies there might not be any notifications to show. If there are only small companies then there might not be any notifications to show.

The Live report in Vainu

Why is there no data or very little data on Live reports?

Live reports are generated based on the actions made with events generated through Vainu for the CRM tool. When you act upon the automatically generated events you will see statistics on the Live Report. If no sales have been made in the CRM, then there is no data to show or if there are a few/no companies there might not be any data to show.

How is my data handled by Vainu?
